Project Manager (Seconded Client Partner)

Leeds-based but with a requirement to travel to London for client meetings as and when required.

We are looking for an experienced, highly professional Project Manager to join our award-winning team.

This is a unique hybrid role. Three days each week you’ll be seconded into one of our flagship global clients, leading the planning and delivery of executive leadership bootcamps across Europe and internationally. For the remaining two days, you’ll work as part of the XSEM team, delivering high-impact brand experiences, internal communications and engagement projects for a diverse range of clients.

This role offers the best of both worlds – the opportunity to build trusted client relationships as an embedded partner whilst enjoying the variety, creativity and pace of agency life. We’re looking for someone who combines exceptional project management with commercial awareness, senior stakeholder confidence and a genuine passion for delivering outstanding experiences.

Key responsibilities

50%  Programme Leadership & Delivery

  • Own the planning and delivery of executive leadership programmes from concept through evaluation
  • Manage project plans, timelines, budgets, governance and risk registers
  • Lead on-site delivery, ensuring flawless execution and an exceptional delegate experience
  • Coordinate internal teams, suppliers, venues, production partners and logistics across multiple international projects

20%  Client & Stakeholder Management

  • Build trusted relationships with senior client stakeholders and executive leadership teams
  • Provide clear communication, reporting and programme updates
  • Represent XSEM professionally, knowing when to lead, advise and appropriately challenge

15%  Commercial & Operational Excellence

  • Manage budgets, supplier negotiations and financial reporting
  • Identify efficiencies without compromising quality or experience
  • Maintain operational standards, documentation and governance

15%  Agency Contribution

  • Support delivery across XSEM’s wider client portfolio
  • Share knowledge, mentor colleagues where appropriate and promote best practice
  • Contribute to process improvement, innovation and continuous development
About you

You’ll probably have:

  • Significant experience managing corporate events and engagement programmes
  • Experience working with senior executives and leadership teams
  • Outstanding organisational and project management skills
  • Excellent communication and stakeholder management abilities
  • Strong commercial awareness
  • Exceptional attention to detail
  • The confidence to make decisions and solve problems independently
  • A calm, positive and solutions-focused approach under pressure

You’ll also be comfortable with:

  • International travel
  • Managing multiple priorities simultaneously
  • Last-minute changes
  • Working autonomously whilst remaining a collaborative team player

Knowledge of PowerPoint, SharePoint and basic AV troubleshooting would be advantageous.

Golf Coordinator

Working with our Senior Golf Manager, you will be responsible for assisting with all administrative aspects of the planning process of all the golf projects. You must be able to anticipate project needs, multitask, discern work priorities and meet deadlines using your own initiative.

You should have a love for golf, provide outstanding customer service, be an enthusiastic professional and be able to build relationships with internal and external customers.

Key responsibilities
  • Coordinating a full calendar of golf events for a range of clients: planning, organising, promoting, facilitating, delivering and evaluating​
  • Monitoring and coordinating the timeline of each event​
  • Liaising with clients to ensure changes are implemented​
  • Researching the best options for each event to achieve the highest service for clients​
  • Liaising with suppliers on event-related matters
  • Closing down all events as required​
  • Event administration: delegate management, budget and progress reporting, invoicing, contract management, guest itineraries, guest liaison, event collateral​
  • Proposing new ideas to improve the event planning and implementation process
About you
  • You must be able to anticipate project needs, multitask, discern work priorities and meet deadlines using your own initiative
  • Keep up-to-date with knowledge of current and emerging golf industry trends, to ensure you are always advising your clients on new and exciting opportunities to enhance their golf days/trips
  • Develop and apply a good understanding of clients’ businesses and products
  • Develop and apply a basic knowledge of the company’s range of services
  • Be able to build relationships with internal and external customers

  • Effectively communicate with the golf team to ensure the senior golf manager has an overview of your task progression
